When an artist is booked:

1. follow artist on insta/facebook/tik tok. Like or comment on one if their posts.
Especially if the post is about an upcoming tour in which Boartyard is the stop.

2. Connect with their marketing team get all assets. Be certain we have the latest photos, videos, graphics. Get MP4 files. If youtube videos are below our standard* , upload the mp4 files to boatyards youtube. Identify and discard of rejected content. Dont settle for shit quality asssets. Press for more and don’t wait until the week of the show. If they are 30-60 days out, they could develop new content if they have played Boatyard within the last 6-12 months, use the photos and videos we captured from our shared assets folder.

Develop assets for promotion of the event. Basic graphics needed:

  1. Calendar Thumbnail for on sale

  2. Image for Facebook Event, with date and boatyard logo

  3. Email slides images. One for Wed, one for Friday email

  4. Create graphics for internal TVs

  5. Develop 2-3 reels / stories / posts for each act

3. Create a Facebook event. Be sure to invite them as collaborators. Make sure the FB event uses a good quality photo, with the Boatyard logo on it. Start watching responses to the FB event. Like, comment, share on comments.

4. Be sure they have our logo. Let them know its our updated logo and our domain is bydlkn.com.

1-2 weeks before a performance

1. Engage with the talent’s posts on social media. Post and promote about the act on our regular schedule. Monitor the talent’s posts
for opportunities to repost their content

2. Develop content that promotes the talent indirectly (how can we use polls, trivia, food, beverage, etc. to appropriately talk about the talent)

3. Share the event to the live music groups we are a part of on Facebook

4. Post the shoutout video

1 week before a performance

1. Put up marquee letters. Confirm language / descriptor is correct. Photograph and or video this process

2. Consider themed menus, band themed cocktails, or Thursday Bingo in the music genre of the weekend’s main act

3. Promote an outdoor show if applicable to band and weather forecast

Day of Performance

1. Capture load in and setup. Interesting vantage points, no more than 15 seconds. Post as stories. Tag the band. Retain for B roll

2. Record a shoutout. Make it different than the last. Film it from a different location. Stand closer. Move. The camera person’s shadow or
reflection should not appear in the video.

3. Think of footage you would want to use if this band/artist returned to Boatyard.

4. Record 4-6 ten second videos of the band. Up close. Show details. Provide the viewer with a vantage point they can’t get. Film during different parts of the set.

5. Show the crowd, the environment. Give Boatyard guests a glimpse of what attending a show there is like. Film from the woods, a bench, the covered porch, next to the stage, atop the cargo bar.

6. Take quality photos of the band on our stage. Vertical and horizontal orientation.

After Performance

1. Post videos to weekend rewind on social media

2. Archive new photos and video footage for use on the band’s return

3.. Remove artist slides from internal TVS, remove internal poster signange
